If you are choosing an IT partner for a practice in Dallas-Fort Worth or Houston, the goal is to tell the difference before you sign, not after. Here is what to look for and what to ask.
Do they actually know healthcare?
This is the first filter and the most important. General IT and healthcare IT are different jobs. A healthcare provider understands HIPAA obligations, works with EMRs and practice management systems every day, and knows the specialty workflows that a generalist has never seen. Ask directly: how many medical practices do you support, which EMRs have you worked with, and have you handled a real breach or an OCR situation? Vague answers are an answer.
Is compliance built in or billed as an extra?
Some providers treat security and compliance as premium add-ons. In healthcare, the physical, technical, and administrative safeguards are not optional extras, they are the baseline. Ask whether HIPAA risk assessments, documentation, and a real security posture are part of the core service or a surprise on a later invoice. The answer tells you how they think about your risk.
What is their actual response time, and who answers?
Downtime in a practice is expensive, so response time matters, and so does who picks up. Ask what their service level agreement actually promises, whether you reach a real specialist or a tier-one script reader, and whether coverage extends after hours and on weekends, because medicine does not stop at five. A specific, committed number is worth more than a friendly promise.
Are they local, and do they know the market?
There is real value in a partner with people in your market who can be on-site when something needs hands, and who understands the local healthcare landscape. For DFW and Houston practices, a provider with a genuine local presence in both metros can cover multi-location groups and dispatch when remote support is not enough.
Can they prove it?
Finally, ask for evidence, not adjectives. References from practices like yours, examples of real incidents they have handled, and clarity about what is included and what is not. A provider who can show the receipts is a different proposition than one who only talks a good game.
